It is important to HOUE to protect and respect personal data in accordance with the EU General Data Protection Regulation (GDPR 2016/679) and the Danish Data Protection Act, both of which entered into force on 25 May 2018.
In connection with the recruitment process, we process ordinary personal data about you, but it may also occur that we process special categories of personal data, personal identification numbers (CPR numbers), or information relating to criminal offences. Below you can read more about which information we process about you when you apply for a position with us.
When we receive an application from you, the personal data contained in your application, CV, and any other submitted documents will be registered.
This will typically include information such as: name, address, date of birth, gender, telephone number, email address, CPR number, marital status, education(s), career history, driving licence information, recommendations/references.
We process this information pursuant to Article 6(1)(b) of the GDPR, as these are personal data that you have submitted to us yourself for the purpose of possible employment.
We store the submitted information exclusively in our internal HR recruitment system.
We assess each applicant’s qualifications in relation to the vacant position. Once all received applications have been assessed, we select candidates who will be invited for job interviews. Candidates who are not invited will be informed accordingly.
In connection with the interviews, we receive additional information about you, which we record for the purpose of a possible further recruitment process.
As part of the recruitment process, it may be relevant for us to conduct searches on social media, e.g. LinkedIn, Facebook, Instagram, Twitter, or similar platforms.
We rely on the balancing of interests rule pursuant to Article 6(1)(f) of the GDPR as the legal basis for obtaining information about candidates from social media. This is done in order to assess whether your profile matches our company in relation to the specific position.
For some positions, it is necessary to obtain references from previous employers. If we obtain references, the information received will be registered.
We rely on your consent pursuant to Article 6(1)(a) of the GDPR as the legal basis for processing this information. You will therefore be asked to give your consent before we contact one or more of your previous employers. You may withdraw your consent at any time. Withdrawal of consent will take effect from the time of withdrawal and will not affect the lawfulness of the processing carried out prior to the withdrawal.
If, due to your nationality, you are required to have a residence and work permit to work legally in Denmark, HOUE will obtain a copy of your passport and your residence and work permit from you. This applies both upon employment and upon renewal. HOUE is obliged to do so pursuant to section 59(5) of the Danish Aliens Act.
If your application is rejected, we will delete the information we hold about you no later than 6 months thereafter.
Unsolicited applications are stored and deleted no later than after 6 months.
For the purpose of possible future employment, we may in some cases wish to retain your application even if you have been rejected. In such cases, we will ask for your consent.
If you are employed, we will store the information that formed part of the recruitment process in your electronic personnel file.
Under the GDPR and the Danish Data Protection Act, you have a number of rights in relation to the company that stores and processes your personal data. These rules aim to strengthen the legal position of individuals, including by creating transparency regarding the processing of personal data.
